Weekly Notifications & Reports

Weekly Notifications & Reports

Every recipient row in IR Role Restrictions (see the previous page) can receive up to twelve weekly digest emails, plus real-time alerts the moment certain cases are created, plus one daily reversal notice. All of them share one visual design - Frappe's own transactional-email chrome (a rounded card, a coloured status dot, the site's masthead), with the same accent used across every IR print format:

A weekly report email: a red status dot next to the title, a bordered table with a red header rule, and a Kind Regards sign-off

The coloured dot tells you the urgency at a glance: red means something needs action now (an overdue item, or a brand-new case), orange means something's approaching a deadline, blue means it's informational or already actioned.

The weekly digests

Report Covers Designation Limit Branch Limit
Fixed-Term Contracts Expiring Soon / Already Expired Contract of Employment -
Outstanding Disciplinary Actions Disciplinary Action
Outstanding Incapacity Proceedings Incapacity Proceedings
Outstanding Poor Performance Poor Performance
Outstanding External Disputes External Dispute Resolution - -
Employees Nearing / Past Retirement Employee
Induction Expiring Soon / Expired Employee Induction Record ✓ (designation only) branch-bucketed via Global/Per-Branch Trainer
Outstanding Leave Applications Leave Application
Outstanding Employee Change Forms Status Change Form + Site Transfer Form

Contract of Employment reports are deliberately branch-only - which designations may see a contract isn't the same question as whose contract they're allowed to manage.

Real-time alerts

The moment a Disciplinary Action, Incapacity Proceedings, or Poor Performance case is created, its own configured recipients (disciplinary_recipients etc. on IR Role Restrictions) get an immediate alert - narrowed by that recipient's own Designation and Branch Limits, exactly like the weekly digest. An NTA Enquiry - the hearing notice for any of those three case types - gets the same treatment, since it names the accused employee and their position directly in the email. Status Change Form, Site Transfer Form, Termination Form, and External Dispute Resolution creation alerts are deliberately unfiltered - a different kind of document, sent to the full configured recipient list regardless of restrictions. Anonymous Report uses a completely separate model: it goes only to users holding the Anonymous Report Investigator role, since the doctype carries no accused-employee designation/branch to restrict on the normal way.

The daily job

Demotion reversal: when a temporary demotion's end date passes, the affected employee's position is automatically restored and a notice goes out to the Report Recipients list - narrowed by Designation and Branch Limits, same as everything else.

Next: Shift Design, to start building a site's workforce plan.
