Employee Induction is the master catalogue of trainings, licences, qualifications, and legally-required authorisations - each with a validity period and which sites/designations it applies to. An Employee Induction Record is proof one specific employee completed one specific induction - facilitator, institution, dates, a Portfolio of Evidence, and a certificate.

Tracking compliance

Employee Induction Tracking rolls this up per employee - which inductions are required for them, their designated group, occupational level, and disability status - feeding the Training Matrix report, a compliance grid across every employee and every required induction.

Expiry notifications

Two weekly jobs watch induction validity:

  • Induction Expiring Soon - the latest submitted record for each Employee + Training pair, expiring within 30 days.
  • Induction Expired - the same, but already past its Valid To date.

Only the latest record per employee/training pair counts - if a newer submitted record with a later Valid To date exists, an older expired one is superseded and doesn't get reported.

Recipients are split two ways: a Global Trainer sees every branch; a Branch Trainer (trainer_per_branch on IR Role Restrictions) only sees their own branch's expiries. Each recipient's own copy is also narrowed by their Designation Limits, since a trainer can independently hold an IR role too.
